02Before you write

What to include in a first message

None of these points is mandatory. Each one makes it more likely that the first reply contains something useful rather than a list of questions.

  1. 01

    The business situation

What the process looks like today and which part of it is causing difficulty. A short description of the day-to-day reality is more valuable than a technical specification.

  2. 02

    The systems involved

Which applications, databases, cloud platforms or third-party services are already in use, and which of them cannot be replaced.

  3. 03

    The outcome you want

What would need to be true for the work to be considered successful. Even an approximate description helps to frame the scope.

  4. 04

    Constraints

Deadlines tied to external events, regulatory requirements, budget boundaries, internal capacity or technology that has to be kept.

  5. 05

    Who is involved

Which roles will take part in decisions, and whether there is an internal technical contact we should coordinate with.

  6. 06

    Existing material

Documentation, diagrams, screenshots or exports that already describe the system. Please do not send credentials or personal data in a first message.

03How we communicate

What to expect after sending a message

Replies are written by people

Enquiries are read and answered individually. We do not use automated responders, and we do not pass contact details to third parties for marketing purposes.

Timing depends on the question

A short clarifying question is usually answered quickly. A request that requires reviewing documentation or an existing codebase takes longer, because a considered answer is worth more than a fast one. We do not promise a fixed response time.

The first exchange is a conversation

An initial reply typically contains questions, an outline of possible approaches, and an honest indication of whether the request suits our way of working.

No obligation follows

Writing to us does not commit either side to anything. If we are not the right fit, we will say so directly.

Confidentiality

Information shared during an enquiry is treated as confidential and is used only to assess and discuss the request.

Follow-up

If a message appears to have gone unanswered, sending it again is welcome. Email filtering occasionally intervenes on either side.
